Administration Records...



The "View | Administration Records..." command brings up the administration records dialog box, within which tasks involving the selection of administration records can be made. This dialog allows you to select (and thus order) data based on the pertinent administration record.



The "Department" pull down list displays the list of departments that are associated with the currently chosen year.

The "Box Number" pull down list displays the list of box number that are associated with the currently chosen year and department. When a new box number is chosen the information displayed in the remainder of the window is rewritten to display the information pertaining to the record defined by the displayed year, department, and box number.

The "Destruction Date" area displays a date on which the box is supposed to be destroyed.' The database is searched daily for destruction dates that have come due, and a notice is automatically sent to Copysies Ltd. advising of an expired item. Copyseis will then contact the owner to confirm the item is to be destroyed before it is incinerated..

The description area allows the description stored in the database to be modified by simply typing over the area's contents. Changes made to the description are however not written to the database until the "OK" or "Apply" buttons are pressed.

The "OK" button writes any changes made to the data to the database before closing the seismic lines window. This button performs the same function as clicking the "Apply" button and then the "Close" button.

The "Cancel" button closes the administration records window without writing any changed data to the database. This button performs the same function as clicking the close box in the upper right corner.

The "Apply" button (editing and full editions only) writes any changes made to the data to the database. This button is only active if an editable value has been altered.

The "Search..." button creates a search for window which can be used to select a administration record to display in the administration records window. This button performs the same function as the "Search | For Adminsitration Records..." command.

The "Previous" button selects and displays the previous administration record in the Copyseis database.

The "Next" button selects and displays the next administration record in the Copyseis database.

The "Print Preview..." button creates a page-setup dialog box which proceeds to the standard Windows' "print preview" display. The information for the currently selected administration record is shown.

The "Print..." button creates a page-setup dialog box which proceeds to the standard Windows' printing sequence. The information for the currently selected administration record is printed.

The "Batch Print..." button creates a search for" window which can be used to select all the administration records to print or print preview. This button performs the same function as the "Edit | Print Administration Records..." command.

The "Batch Export..." button creates a search for window which can be used to select all the administration records to be exported to Excel. This button performs the same function as the "Edit | Export Administration Records to Excel..." command.

The "Export To Excel..." button exports the information for the currently selected administration record to an Excel file, then opens that file with Excel. The standard Windows' "save as" dialog box appears into which a name for the Excel file must be entered.

The "Export To Text..." button exports the information for the currently selected administration record to a tab-delimited text file. The standard Windows' "save as" dialog box appears into which a name for the text file must be entered.
